Le Lien Sourcing Guides

Technical Procurement Guide

Technical procurement works best when purchasing language preserves the engineering or operational requirement instead of reducing it to a product description.

Write requirements that can be tested

Where possible, replace subjective descriptions with measurable constraints: dimensions, material, capacity, range, tolerance, interface, environment and applicable standard. This gives suppliers a clearer basis for compliance.

Control the word equivalent

An equivalent should satisfy the requirements that matter to the application. Define those requirements before accepting substitutions and identify who has authority to approve a deviation.

Include documentation in the specification

If datasheets, certificates, inspection records, serial numbers or traceability are required, state that before quotation. Documentation requested after delivery can be difficult or impossible to reconstruct.

Consider the whole procurement outcome

Lead time, freight, installation implications, spares, warranty, support and repeat availability can outweigh a small difference in purchase price. Compare the complete supply outcome rather than only the line-item cost.

Preserve what you learn

Record accepted manufacturers, rejected alternatives, technical clarifications and successful suppliers. Specialist sourcing becomes faster when each solved requirement improves the next procurement cycle.
